How we use personal information
Why we process it: to quote for and run events, look after our staff and freelancers, pay suppliers, market our services and meet our legal duties.
Whose information we hold, and what:
- Clients and enquirers: names, company names, phone numbers, email addresses and event details.
- Staff and freelancers: names, ID numbers, contact details, banking details, tax numbers and employment records.
- Suppliers: company details, contact people, banking details and tax numbers.
Who we share it with: service providers who help us run the business (such as our accounting, CRM, email and website providers), crew working on an event, and anyone the law requires us to share it with.
Information sent outside South Africa: some of our service providers store data outside South Africa. When this happens, we take reasonable steps to make sure the information stays protected, as POPIA requires.
How we protect it: we limit who can see personal information, use password-protected systems and keep paper records secure.
How to ask for a record
- Fill in the request form (Form 2), which you can get from the Information Regulator's website.
- Send it to our information officer by email or post, at the details above.
- Say which record you want, how you want to get it, and your contact details. If you ask on someone else's behalf, show that you may do so.
- Fees may apply, as set out in the PAIA regulations. We'll tell you if there's a fee before we do the work.
- We'll answer within 30 days. If we need more time, we'll tell you, as PAIA allows.
We may refuse a request on the grounds set out in PAIA, for example to protect someone else's privacy or commercial information. If we refuse, we'll tell you why.
If you're not happy
You can complain to the Information Regulator, or apply to court, within the time limits in PAIA.
