The short answer
Plan the power first, then the weather, then the sound. An outdoor event needs a power plan, cover for the stage and the gear, more speakers than the same crowd indoors, a way for trucks to get in, and lights for when the sun goes down.
Power
Sound, lights and screens need a lot of power, on separate circuits. Find out what the site has: plug points, a distribution board, or nothing at all. If there isn't enough, plan a generator. Tell us what's there, and we'll work out what the tech needs.
Weather
- Rain cover for the stage, the sound desk and every screen
- Wind: truss, banners and screens must be secured for it
- A plan B for rain, and who makes the call
- Shade for the crew and the desk on a hot day
Sound
Outdoors there are no walls to carry the sound, so the same crowd needs more speakers. Think about the neighbours too: many sites have noise limits and a time the music must stop. Check them before you book.
Light
Check what time the sun sets. Daylight hides stage lighting, so the show starts to look like a show after dark. Light the paths, the bar and the exits too, not only the stage.
Screens
Outdoors you need outdoor-rated LED panels, which are brighter and made for the weather. Indoor panels and projectors wash out in daylight.
Access and timing
- Truck access to the stage area, on firm ground
- Load-in and load-out times agreed with the site
- Security for the gear overnight if the build is the day before
- A level, solid spot for the stage
